This guide is for an NDIS participant, nominee or other authorised person preparing a household-cleaning enquiry for funding that is NDIA-managed. It separates the provider-registration checkpoint from the practical cleaning brief, so you can identify what must be confirmed before a service agreement, claim or visit is discussed. Contacting a business is an enquiry only; it does not establish provider eligibility, plan funding, service availability or a booking.
Use the registration checkpoint first
NDIA-managed NDIS supports must be delivered by a provider registered with the NDIS Quality and Safeguards Commission. Check a provider’s current registration for the relevant support before relying on a quote. A business name, website statement or previous invoice is not a substitute for that current check. If the registration position or the applicable support category is unclear, pause the enquiry and ask your my NDIS contact or an authorised support coordinator.
Align three records before choosing

These records serve different purposes. A plan does not describe the condition of each room, a cleaning brief does not approve NDIS funding, and a quote does not prove that a claim will be paid. Keep the three aligned rather than asking one document to stand in for the others.
Write the household brief as observable tasks
List the exact address and the spaces that need attention, then name the ordinary tasks in each space. Examples may include wiping reachable surfaces, vacuuming accessible floor areas, mopping, cleaning a standard bathroom or completing agreed laundry steps. Add the preferred frequency, reasonable timing window, access method, communication preferences and any household restrictions. This makes a quote easier to compare without sharing the participant’s full plan or medical history.
Separate ordinary cleaning from another service

- Routine domestic tasks that can be described, priced and completed using an agreed household scope.
- Ask for a separate assessment
- Heavy buildup, mould investigation, biohazards, pest treatment, restoration, repairs, high-access work or another condition requiring specialist controls.
- Keep outside the NDIS discussion
- Landlord obligations, property maintenance, damage rectification and private tenancy costs that are not an NDIS support.
If a mixed request includes both ordinary cleaning and another type of work, split the items before seeking a quote. That prevents a general cleaning line from obscuring a separate private or specialist responsibility.
Decide how the provider will be recorded
Current NDIS processes use “my providers” to record provider relationships in relevant situations. The participant or nominee can add, change or remove a provider through the applicable plan conversation, my NDIS contact or the NDIS contact channel. For some claims from a provider who is not recorded, the NDIA may contact the participant or nominee before payment. Confirm the current process for the participant’s plan rather than assuming that a quote automatically creates a provider relationship.
Check the service agreement line by line
- Match the provider’s legal and trading details to the entity being considered.
- Match the support description to the household brief and remove tasks that were not requested.
- Check the rate, estimated duration, travel or other separately stated costs, cancellation terms and the way scope changes are approved.
- Confirm who may give instructions at the home and who may approve a change with financial consequences.
- Keep a dated copy that both sides can refer to if the plan, address or task list changes.
A service agreement should make the working arrangement understandable. It cannot guarantee a particular cleaning outcome, remaining budget, claim acceptance or future appointment.
Share only what the visit requires
Provide the minimum information needed to assess and carry out the agreed work: the service address, selected tasks, access instructions, an authorised contact and relevant safety or communication information. Do not send an entire NDIS plan, unrelated health details, portal credentials or payment codes in a general cleaning message. Confirm authority before discussing the participant’s funding or household arrangements with another person.
Reconcile the invoice after the work
Compare the invoice with the dated agreement and what was actually delivered. Check the participant and provider details, service date, task or support description, units or time, rate and total. Ask for a correction if the invoice includes an unapproved task, an unexplained duration or a different description. The provider submits claims for NDIA-managed supports through the relevant provider channel; the participant should continue checking plan spending and provider claims.
Use a clear stop-and-check rule
Stop before proceeding when registration cannot be verified, the plan-management type is uncertain, the task is not clearly disability-related, the quote combines private and funded work, the person giving instructions is not authorised, or the invoice path is unexplained. Record the question and take it to the appropriate my NDIS contact or authorised adviser. A short pause is preferable to relying on an assumption that affects the participant’s plan.
