A one-off clean is a single visit with agreed household-cleaning tasks at one address. Explain what needs attention, any access or product requirements, and the limits of the work before requesting a written quote. The participant, nominee or another authorised person should check and accept the quote before booking. Agreement for this visit does not authorise later visits.

Explain the purpose of the visit

Explain why the visit is needed. You might want selected floors cleaned after a disruption, specific bathroom and kitchen tasks, or help with a defined catch-up list. Be specific about the work instead of asking to “fix the house” or “do whatever is needed.” Confirm who can answer questions about the tasks and who can approve the price or any changes.

Explain the current cleaning needs

Provide the full address, the areas that may be inspected and the cleaning condition that affects the quote. Mention blocked access, delicate finishes, pets, mobility equipment and objects that must stay within reach. Photographs are optional. Share them only with permission, for an agreed quoting purpose and with an agreed deletion date. A diagnosis or complete plan is not required to request a quote.

List the rooms and tasks

List the rooms to be considered, rooms to exclude and any areas needing approval. For each room, describe the surface and task: for example, vacuum the accessible carpet, wipe the cleared bench or mop the unblocked tiled area. Identify personal items, equipment and fragile objects that must not be moved. List appliance interiors, high surfaces and heavy objects separately so they can be assessed before agreement.

Agree the timing and limits

Confirm the requested date, arrival window, latest finish, expected duration or price basis, and approved access method. Agree whether the limit is the time, listed tasks, fixed price or a combination. A preferred date remains a request until it appears in an accepted written arrangement. Someone without authority to approve changes cannot extend these limits through an informal request.

Describe how tasks will be checked

Describe an action that can be checked, not a guaranteed household outcome. “Vacuum the accessible bedroom carpet” is specific; “make the bedroom healthy” is not. Include the permitted method, product restrictions, objects that may be moved and where they must be returned. If part of a surface cannot be reached, note that limitation rather than describing the whole task as complete.

Agree how changes will be approved

For a larger visit, agree when the authorised person will review the remaining tasks. They may keep the order, swap the order of two already quoted tasks or end the visit at the agreed limit. Record the choice. This review does not include new work, authorise extra time or change the price without written agreement.

Confirm who can give instructions at a shared address

Identify the participant area, shared areas offered for cleaning and excluded rooms. For each person involved, confirm only their role: providing access, answering questions, approving tasks or approving invoices. A housemate, relative, support worker, SIL worker, housing provider or property manager may have one role without the others. Providing access does not by itself authorise someone to change the work or receive participant information.

Check funding arrangements before booking

Before arranging payment through the NDIS, check that the purchase is an NDIS support, relates to the participant’s disability support needs and is consistent with the plan. Clearly separate the participant’s cleaning tasks from other residents’ tasks, ordinary household costs and any separately quoted tenancy or specialist work. Separate quoting does not itself decide whether work is NDIS-funded or private-pay. A one-off label does not confirm eligibility. If the funding position is uncertain, pause the purchase and ask the participant’s appropriate funding contact.

Check provider requirements for your funding route

NDIA-managed funding requires a currently registered provider. Self-managed and plan-managed funding usually allow a registered or unregistered provider, although current exceptions still apply. Do not rely on a webpage title, logo or general service description as evidence of registration. Check the relevant official record and the participant’s payment route before accepting a quote.

Check the written quote against your task list

Check that the quote matches the address, cleaning condition, tasks, priorities, completion checks, agreed limits, stopping conditions, exclusions, approval roles and price basis. Ask for a dated quote or version. A response that says only “one-off clean” is not specific enough. Resolve any differences in writing before accepting it.

Check what was completed

For each quoted task, record whether it was completed, partly completed, not started, declined or stopped, with the reason. Add a short factual note for anything not completed. Compare this task record with the invoice before approval. Work that was inaccessible, paused or outside the agreed limits must not be recorded as complete.

End temporary access and information

Confirm the return or deletion of temporary keys, codes, arrival instructions and unnecessary photographs. Keep only the quote, accepted changes, task record and invoice records needed by the authorised person or organisation. Agree who will retain them and for how long. Access to participant information ends with the visit unless another authorised purpose exists.
