Verify an unexpected change through a known provider channel before redirecting payment or sharing information.
A plan manager, participant, nominee or another billing contact may receive the invoice depending on the actual management arrangement.
Use the cleaning visit record and calendar rather than memory alone.
Flag a duplicate date, future date, cancelled visit or date when access was unavailable. A booking confirmation is not evidence that a service occurred.
Do not change the service record to fit an invoice. Ask the issuer to correct an inaccurate description.

Store the accepted quote or agreement, booking confirmation, visit record, invoice, correction request, replacement document and payment or claim evidence together. Limit access to people who need the records for the service.
