A one-off clean can involve surfaces and finishes that a person quoting the work has not seen before. This Central Coast guide builds a surface-care permission map so unfamiliar materials are not treated as generic cleaning tasks. It supports a clearer quote without promising funding, availability or a particular result.
Name the room, item and surface being considered, such as a sealed floor in the kitchen or a painted shelf in the living area. Avoid broad entries such as “all surfaces.” Different finishes or conditions need separate lines even when they are in the same room.
Note any manufacturer instruction, care label, product restriction or authorised household direction that is available. If the material or finish is unknown, mark it unknown. Do not infer a surface type from colour, appearance or a previous property.
Describe the removable household soil or routine action under consideration. Damage, mould treatment, pest work, stain restoration, resurfacing, repairs and specialist remediation are different decisions. Keep them outside the one-off cleaning line unless separately assessed by an appropriate person.
For each surface, record the method the authorised person is prepared to consider: for example, dry dusting, a labelled neutral product, or another stated action. Include any prohibited product, tool, heat, moisture or pressure. “Clean as needed” is not a usable method instruction.
The participant or nominee controls the requested outcome and permissions for areas they can authorise. A resident, landlord, owner, manufacturer or suitable specialist may control another surface decision. Record the role; do not pass an unresolved material decision to the person carrying out a general household task.
If the material, method or permission remains uncertain, exclude that line from the proposed visit. An exclusion should name the surface and reason, not disappear into a generic disclaimer. The rest of the confirmed scope can still be quoted separately.
A hidden-area test can still alter a finish and therefore requires an authorised method and decision-maker. Do not assume that “test first” transfers the risk to the household or makes an unknown product appropriate. If no authorised test exists, retain the exclusion.
Use a short factual note about existing chips, wear, discolouration or instability only where it affects the proposed action. Avoid unnecessary photographs or private background. If an image is genuinely needed, confirm what it will show, who receives it, how it is sent and when it will be deleted.
Surface permission does not authorise entry. Record permitted rooms, furniture movement limits, pets, stairs and communication preferences separately. Secure keys, codes and alarm instructions should be shared only after a service, date and recipient are confirmed.
For a shared bench, floor or bathroom fitting, record who can approve the method and whether the task is part of an ordinary shared-household cost. Do not assign the entire shared surface to a participant’s NDIS request merely because the participant uses the room.
A quote can identify the approved method, area and quantity. It should not guarantee removal of every mark or return an aged surface to a new condition. Ask the provider to state any result limitation before acceptance and keep excluded restoration work visible.
State who supplies each approved product, where it will be located and what happens if it is missing, unlabelled or different on the day. Do not substitute another product to preserve the schedule. A product change reopens the affected surface decision.
Match the room, surface, permitted method, quantity, product source, access basis, exclusions and price. A general room line is unresolved if it conceals several materials with different permissions. Ask for separate pricing or narrower wording before acceptance.
Household cleaning may be considered only where it relates to the participant’s disability support needs and meets current plan and NDIS requirements. Questions about the plan, available budget or payment route can be directed to a plan manager, support coordinator or my NDIS contact. Current provider requirements should be verified for NDIA-managed funding.
If an unexpected material, condition or permission issue appears, stop that line and notify the named decision owner. Do not replace it with an unquoted task, expand into another area or use the remaining time as blanket authority. Any replacement needs its own confirmed scope.
A different product, tool, moisture level or pressure can change the surface risk even when the room and action look the same. Recheck the instruction, permission, price effect and exclusion before proceeding. A verbal shortcut should not overwrite the written line without a dated record.
Record which lines were performed, excluded, stopped or changed, and keep any unresolved surface out of a completion claim. The handover can identify a future question without creating an ongoing service. A later visit should start from a fresh map and quote.
